The Receiving process allows a User to Receive inventory into the warehouse. 

Using the Receiving app, inventory may be received onto a Cart or into a Location. At this time the receipt is posted against the Purchase Order. 

The Receiving process is a two-step process, once Received the Inventory must then be Putaway into a storage location. The Putaway app is used to move the inventory from the Cart or the Receiving location into storage.

  • The User may click on the new line to return to the packing screen.

Inventory must be Received prior to being Putaway. Once the Receiving process is started, a User may choose to start Putaway(s).

Receiving with a Purchase Order 

The initial screen prompts the User to scan a Purchase Order number or a BOL number. When a BOL number is scanned the screen lists all Purchase Order(s) associated with the BOL number.


The User may also hit the <refreshbutton in the upper-right to list all Purchase Orders available in the system.

 

A typical initial Receiving screen is displayed below.


 

The User may use their finger to scroll and view all the Purchase Orders. Select the Purchase Order to Receive by scanning (or touching the specific line) PO Number. The system will display the details of the selected Purchase Order and prompt the User to scan a Location or Cart to receive to.

In the example below, the PO – TEST03 is being received to Cart99. The current status of the receiving activity is displayed in the Expected and Received columns. The arrows icon may be used to change the sort (by Item, by Home Location, Putaway Zone Expected Quantity or by Back Ordered).

Put Zone and Home Location are displayed to help the User determine where best to stage the product. Grouping products destined for the same area of the warehouse onto the same cart may speed up the putaway process.

Put Zone represents the Item’s preferred Putaway area or the last area the Item was Putaway in.

Home Location may represent the Items true Home Location or may represent a logical preferred Putaway area.

 

Scan an Item or touch the <Receive> button to start receiving. Or scan a Location or Cart to change the cart/location.

 

Enter the quantity being received and hit the <OK> button. Notice the remaining quantity is displayed at top of the keypad indicating the remaining quantity on the PO.

 

Once inventory is being received the screen is divided into two sections. The top section remains the Purchase Order Details section and the lower section lists the Pending Receipts. In the example below there are 2 pending receipts for a quantity of 3 and 1 respectively. Notice in the Purchase Order Details section the Pending Quantity column summarizes the pending receipt section.

At any time prior to committing a pending receipt, the User may touch the <Cancel> button to cancel a specific receipt.

The User may continue to create pending receipts (which will continue to list in the Pending Receipts list) or they may choose to commit the Pending Receipts.

The User may commit the receipts in one of two ways; individually by hitting the <Commit> button in the Pending Receipts list or all at once by hitting the <Commit All> button in the Purchase Order Details section.

 

Once confirmed the Purchase Order Details section is updated. The Received and Pending quantity columns are updated appropriately. Notice Item-4001386 is no longer listed; this is because the expected quantity was satisfied. Item-2000102 reflects that a quantity of 1 has been received and nothing has been received against Item-1902852.


To view all Purchase Order Detail lines simply hit the expand icon.

 

The User may continue to receive inventory against a satisfied Purchase Order Detail line, in effect over receiving. A Purchase Order is never completed by the WOS system (it may only be deleted). A Purchase Order may be marked as complete by the Host via the API.



Receiving using Blind PO

Blind POs allow the ability to use the PO Receipt and PO Putaway functionality without having to create a PO in the system beforehand. It starts with receiving a PO using the BlindPO App in the WOS Operations App. From there, the PO and Putaways can be managed within WOS Manager.

Blind PO Receipt App

Using the Blind PO App on the WOS Operations app, items can be received if they weren't previously setup on a PO in WOS Manager.

After confirming the receipts on the tablet, a PO will be created with the items that were received

  1. Open the Receiving app on the tablet and select Blind PO
  2. Scan the items that need to be received
    1. If a Lot Number is required for the item, that can be put in at this step
  3. Multiple scans of the same item will increase the total quantity received for that item
  4. Tap the quantity to set the total qty for the item
  5. When all the items have been scanned, click on "Review" at the bottom right of the screen to see a list of all the receipts
  6. Click on Commit and Enter a PO number that will be used to group the receipts
  7. Enter a location or cart that can be used to find the receipts in the Putaway app
Tip: Blind PO Receipts that a PO number is entered. If you don't have a PO number that was sent to the vendor that you want to use, any value can be used. The current date is often a good option.
Each tablet that submits a blind receipt will create a separate PO in WOS Manager. They can all be received under the same PO number and then merged later if needed.

View Blind Receipts and Merge multiple receipts against the same PO

Blind PO Receipts that have been submitted on a tablet create a PO that can be viewed in the PO screen from WOS Manager. If multiple tablets submitted receipts against the same PO number, multiple POs with the same number will exist in WOS Manager. These can be manually merged to consolidate the number 

  1. View the POs by going to Receiving -> Purchase Orders
  2. Select the desired POs
  3. At the bottom of the grid, select the Merge POs action
  4. Only Blind POs with the same PO number can be merged. If other POs are selected, they will be ignored.


Putaway

Putaway is the second step in the Receiving process. Once the inventory has been received into the warehouse it must be Putaway into storage. The User uses the Putaway app to store the receipts into storage.

The initial Putaway app screen lists all outstanding Putaway(s) in the system. The User may use their finger to scroll and view all the Receipts.

 

The User is prompted to scan the From Location, Cart or Item.

If a From Location or a Cart is scanned the Putaway list is filtered. In the example below Cart99 was scanned.

Continuing with the above example, the User is proceeding to Putaway product which was received onto ‘Cart99’. Using the sort option the User may choose to walk the warehouse in Put Zone sequence. The Putaways are now listed in Put Zone sequence. Though not directed, the User's work is visually grouped to help them optimize their efforts.

It is just a convenience not a necessity that the User filters and/or sorts the Putaway list. At any time in the Putaway process, the User may simply scan/touch an Item.

The example below identifies the Item to be Putaway and lists the Locations in the warehouse where the Item currently resides and their associated quantities. The User now scans the Put To storage location (L104). When the quantity keypad pops up enter the quantity being stored into the specified location. Hit the <OK> button. Notice the maximum quantity is displayed to help the User optimize their effort.

 

The Complete <Putaway> button will appear. To confirm the Putaway simply hit the <Putaway> button.

The system will return to the Putaway list screen.

Additional Features

Hide Expected Quantity

If the Receive/Putaway -> Hide Expected Quantity permission is enabled the system will not display the expected quantity on the Receiving screen. The Putaway screen will continue to display (min: quantity).

 

Force Receive Item Scan

If the Receiving/Putaway->Force Receive Item Scan is enabled, the user is forced to verify/scan the Item being received. Notice the green <Receive> buttons are no longer visible, forcing the User to scan the Item. This permission is enforced only on the Receiving step of the two-step (Receive and Putaway) operation.

Verify Item on Putaway

If the Receiving/Putaway ->Verify Item on Putaway is enabled, the User is forced to verify/scan the Item being put away. Notice the Item is highlighted in yellow, forcing the User to scan the Item. This permission is enforced only on the Putaway step of the two-step (Receive and Putaway) operation.

Receive to Storage

If the Receiving/Putaway ->Receive to Storage permission is enabled, the User may Receive directly into a Storage Location, the system will perform the Receive and Putaway functions in one step. The Storage Location cannot be of type Receive.

 

Proceed with the Receiving process as normal. Scan the destination storage location. When the receipt is being confirmed by hitting the <Commit> or <Commit All> button the system will automatically Receive and Putaway the product (in one step). No further action is required.

Confirm Receipts 

A System Setting (Confirm Receipts ) allows for PO Receipts to be held in a suspended state until they are reviewed. Only after approval of the receipt will a Putaway task for the approved amount be available.


Permissions and Restrictions

Some of the permissions have been discussed in the above examples. Below is the list of permissions and additional restrictions which will affect the Receiving/Putaway operations.
